The questions people actually write in with. Each answer links to the page that explains the whole thing; if the short version is enough, stop there.

My report shows more hours than I tracked.

Rounding is on, and each entry is rounded before the entries are added up. Four seven-minute entries at 15-minute blocks rounded up are four blocks — one hour, not the half hour the raw 28 minutes suggest. That is how block billing works and it is the only way the detail on an invoice adds up to the total; rounding the sum instead would give a total no line explains. „Nearest“ does the opposite with many short entries and can round them down to nothing. Switch rounding off and the exact minutes are still there — it never touches your data. See Rounding.

The amount is not my hours times my rate.

Four things feed the amount, and any of them can be the reason:

  • Only billable entries count. An entry marked not billable adds hours to the total but nothing to the money.
  • The most specific rate wins — project, then member, then workspace default. A project rate quietly overrides the member's rate you were expecting.
  • Rates have a history. An entry uses the rate that was valid when it started, so last month's raise does not reprice older entries.
  • Rounding is applied before the money — the amount is the rounded duration times the rate, which is why the invoice adds up.

In your personal space, entries for a company you work for use your rate towards that company, not the rate the company pays you internally. See Which rate applies.

Why is the amount a dash instead of zero?

Either no hourly rate applies to that entry, or you are not allowed to see amounts for that person's time. A zero would claim the work was free, so we show a dash — and a total that would leave some people out is hidden rather than partially summed. See rates and who sees money.

I changed a rate. What happens to old entries?

Nothing, unless it was the first rate on that level. The first rate you set applies to everything before it; every later change applies from the moment you save it. Older entries keep the old rate, a running timer finishes on the old one, and an entry typed in for a past day gets the rate that was valid that day. Removing a rate is a change like any other. See rates.

An entry shows on a different day than I expected.

Time zones. Every entry is stored as an exact moment; the zone only decides which day that moment belongs to. Your zone (Profile → Basics) decides the day view, the calendar and your week; by default it follows the browser, and a fixed choice wins over the browser on purpose, so travelling does not move your work into another day. The workspace zone (Settings → General) decides reports and exports, so the whole team sees the same days. Changing either never recalculates anything — only the day boundaries move. If a colleague's Friday evening is your Saturday morning, you are both right. See your profile and workspace settings.

What can a team lead do that a member cannot?

See their people's hours, approve their absence requests and their timesheets, create projects for their team, and get the team block in the weekly e-mail. A lead sees the union of all the teams they lead. What they see outside their teams is a workspace setting; amounts they see only for their own teams, and only if the workspace shares amounts. A lead is not an admin: no settings, no members, no billing. See roles and teams.

What does „external“ mean, and why is there a client called after a company in my personal space?

A member is internal (an employee — has a standard day, counts towards capacity) or external (a contractor). Every company workspace you are a member of appears in your own personal space as a client marked „external workspace“, with your rate towards that company. Your hours there are the same entries seen from the other side: the company reports on them at its rates, you report on and invoice them at yours. Two separate money worlds, one set of hours. See roles and member types and invoicing.

I cannot edit an entry — it says it is locked.

Two locks exist. The period has been approved (or submitted and is waiting): nothing in it can change until an admin unlocks it, and the message links to Approvals. Or the entry is on an invoice: its times, project and billable flag are frozen so the invoice stays true; the description and tags can still change, and cancelling the invoice frees it. See timesheet approvals and invoicing.

Can I run two timers at once?

No — one running timer per person, everywhere: starting a new one stops the old one, in the web app, the desktop app and the assistant alike. Two timers at once is almost always a mistake that costs you an hour of untangling later.

I lost network in the desktop app. Did I lose the time?

No. The timer keeps running locally and finished entries queue up until the network is back; repeated uploads cannot duplicate them. The one thing that can happen is an entry being refused because its period was approved in the meantime — the app shows it as rejected with the reason instead of losing it silently. The phone is different: it reads offline but does not queue writes. See the desktop app and Hourino on your phone.

What does the free plan limit?

Three members, one integration, reports over the last 90 days, three PDF invoicing bases a month, no PDF report export and no connected invoicing system, a smaller daily quota for dictation and the assistant. Nothing is ever deleted when you hit a limit — you just cannot add more of that thing until you upgrade, and older data waits for a paid plan to open it up again. Settings → Plan shows where you stand against each limit. See Pricing.

How do I get all my data out?

Three ways, for three needs. Any report exports to CSV, one row per entry, for a spreadsheet or an accountant. Download my data (JSON) in Profile → Data and account is everything we hold about you in one file. And the API pages through entries, projects and clients for anything programmatic. See your data.

How do I delete my account?

Profile → Data and account → Delete account, confirmed with your password. It removes the account and everything in workspaces where you were the only member; in shared workspaces your entries and membership disappear and the team carries on. Backups let go of the data within 30 days. It cannot be undone, so export first. See deleting.

Why did I get a weekly e-mail, and how do I stop it?

Everyone with a verified e-mail gets a summary of the previous week on Monday morning; it is on by default because the people who want it never find the switch, and the people who do not can turn it off in one click — the link at the bottom of the e-mail, or Profile → Basics → Weekly e-mail summary, where you can also move it to another day and hour or add a monthly one. See your week by e-mail.

Does the assistant change my data on its own?

No. It reads on its own; anything that would write — start a timer, log time, create a client, set a rate — appears as a card for you to confirm, edit or reject first. It can only do what your account can do. See the assistant.
